Why status calls repeat

Most repeat status calls come from one thing: the patient doesn't know where their refill is in the process. When the will-call window is silent, the phone fills it.

  • No acknowledgement that the refill request was received.
  • No update when the claim hits a rejection or PA.
  • No ready notice with a clear pickup window.

What patients need to know

Three pieces of information answer almost every status question.

  • What stage the refill is in, in plain language.
  • Who is acting on it (pharmacy, prescriber office, or payer).
  • What the patient should do next, if anything.

When to send updates

Three triggers cover most of the volume. Add more only if your team can keep them up consistently.

  • On intake — confirm the refill request was received.
  • On blocker — let the patient know we are working a claim, PA, or prescriber response.
  • On ready — give the pickup window in clear language.
