Acceptable Use Policy

What is — and isn't — allowed when using Refillops. This policy is part of our Terms of Service.

On this page
Section 01

No illegal use

Do not use Refillops for any activity that violates applicable federal, state, or local law, or the regulations and rules of boards of pharmacy, payers, or other regulators that apply to your pharmacy. You are responsible for confirming that your use of the product complies with the rules that apply to you.

Section 02

No misuse of patient or pharmacy data

Workflow data your team enters is for the operation of your pharmacy. Do not use Refillops to collect, store, share, or expose patient, prescriber, or pharmacy data outside the scope authorized by your organization and by law. Do not export data to unauthorized destinations, post it publicly, or use it for marketing or other secondary purposes without a lawful basis.

Section 03

No unauthorized access or scraping

Do not access any account, workspace, or data that you are not authorized to access. Do not scrape, crawl, harvest, or extract data from Refillops other than by using documented features of the product. Do not use the service to test, attack, or circumvent the security of other systems.

Section 04

No spam, harassment, or abusive messaging

Drafts you generate in Refillops are meant for legitimate pharmacy communication with patients and prescribers. Do not use the product to send unsolicited bulk messages, deceptive or misleading communications, harassment, threats, or content that violates the rights of a patient, prescriber, payer, or other third party.

Section 05

No harmful automation

Do not run automated processes (bots, scripts, integrations) that place an unreasonable load on the service, attempt to bypass rate limits, mass-create accounts, or otherwise interfere with the operation of Refillops or the experience of other customers.

Section 06

No attempts to bypass security

Do not attempt to disable, defeat, or circumvent any security, authentication, authorization, audit, rate limiting, or access control feature of the service. Do not probe or scan the service for vulnerabilities without written authorization. Responsible security disclosures are always welcome — see "Report a problem" below.

Section 07

No uploading of malicious files

Do not upload, attach, or transmit files that contain malware, ransomware, exploits, trackers, or other harmful code, or that you do not have the right to share. We may scan uploads to protect the service and other customers.

Section 08

No using outputs as clinical decisions

Suggestions, drafts, summaries, and other intelligence outputs in Refillops are workflow support only. Do not present them to patients, prescribers, payers, regulators, or anyone else as clinical decisions, dispensing decisions, coverage determinations, prior authorization approvals or denials, or medical, legal, or billing advice. A licensed and trained team member must review and approve before acting.

Section 09

No coverage or approval misrepresentation

Refillops does not adjudicate claims, approve prior authorizations, or determine insurance coverage. Do not state or imply to a patient, prescriber, or payer that the product has made such a determination. Communicate coverage and approval information only with the source-of-truth payer or prescriber system that actually made the decision.

Section 10

Enforcement and suspension

We may investigate suspected violations of this policy. We may take any action we believe is appropriate, including warning the account owner, removing offending content, restricting features, suspending the account, or terminating the agreement. Where the violation creates an immediate risk to patients, security, compliance, or the service, we may act without notice.

Section 11

Report a problem

To report suspected abuse or a policy violation, email legal@refillops.co. To report a suspected security issue or vulnerability, email security@refillops.co. See our Terms of Service and Privacy Policy for related rules.
